Office clearance without the compliance headache

Clearing a commercial space is not a bigger house clearance. Three separate sets of obligations attach to it (electrical waste, data, and the paper trail) and the liability stays with the business.
Most office clearances in Manchester happen under time pressure:
- A lease ending
- A floor being handed back
- A refurbishment with a contractor already booked
That pressure is exactly when the compliance work gets skipped, and it is the part that comes back.
Electrical waste is its own stream
The WEEE regulations cover almost every piece of electronic equipment in a commercial office:
- Monitors and screens
- Servers, switches and network kit
- Desk phones and handsets
- Kettles, microwaves and fridges
- The label printer nobody has used since 2019
It cannot go out as general waste. A clearance done properly sorts the building into separate streams: items for direct reuse, WEEE recycling, anything hazardous, and general recycling.
Data does not leave with the hardware
Anything that held data (laptops, desktops, servers, phones, copiers with drives in them) needs the data securely wiped or the device physically destroyed, and you need a certificate of data destruction to show it happened. Under UK GDPR your organisation stays responsible for that data after it leaves the building. The certificate is your audit trail, and it is what an ICO enquiry asks for.
Keep the paperwork, and keep it long enough
- A waste transfer note for every load that leaves the premises
- Retain waste documentation for at least two years
- Keep WEEE records and data destruction certificates permanently
- Make sure the notes describe the waste and name the registered carrier
Reuse usually lowers the bill
Desks, chairs, storage and filing in reasonable condition are worth more as furniture than as waste. Donating or reselling them to schools, charities or refurbishers keeps them out of landfill and tends to reduce the overall cost of the clearance, because you are paying to move less material to disposal.
It is worth deciding this early. Once a strip-out starts and everything is stacked in a corridor, the reusable furniture has usually stopped being reusable.
What to line up before the date
Know your handback date and what the lease says about condition. Identify the data-bearing kit and keep it separate. Decide what is being donated. Tell your office clearance team about lift access, loading bays and out-of-hours restrictions.
